Absence Reporting With Frontline Absence Management

  • All full-time Florence 1 Schools employees must report their absences in Frontline Absence Management (formerly known as AESOP) in accordance with the District’s absence reporting policy.

    There are three ways to create an absence with Frontline:

    1. Sign in online at https://www.aesoponline.com using your user ID and PIN no later than 6:00 AM for the same day. If you do not know your login credentials, you can contact Kaya Day at 843-673-1102 or by emailing kday@fsd1.org
      • You may have the option to select whether or not a substitute is needed. Be sure to contact your supervisor in advance to determine whether or not a sub is required.
    1. Call the automated phone line at 800-942-3767

    2. Call employee engagement at 877-983-2244 and select option 2

    All absences require approval from the employee’s supervisor in accordance with the District’s absence reporting policy. For more detailed information regarding leave policies, please review the F1S employee handbook.

Leave Balances

  • The information below is located within the F1S Employee Handbook

    Sick Leave
    Upon an employee reporting to work for their respective contract year, the district will advance the total number of sick days the employee can potentially earn. Any used and unearned sick days will be deducted from an employee’s final paycheck.

    • 9 month (190 day) employees earn 12 sick days
    • 10 month (210 day) employees earn 13 sick days
    • 11 month (220 days) employees earn 14 days
    • 12 month (240-260 days) employees earn 15 days

    The balances listed above are based on an employee reporting to work for their full contractual year. If an employee is considered a late-start and does not work the full contractual year, the number of sick days advanced will be recalculated based on the first day the employee reported to work.

    Annual Leave (Vacation)
    240-day and 245-day employees earn one day of vacation leave each month of service, up to a maximum of 12 earned vacation days per school year. This is accrued monthly, which begins with the first full month of employment. Employees can carry over no more than eight vacation days into the start of the new school year.

    260-day employees must complete one full year employment before receiving ten vacation days, which will be advanced at the start of the school year. If a 260-day employee is considered to be a late-start in their first year, the number of vacation days advanced at the start of their second year of employment will be calculated based on the total number of months they worked during their first year of employment. Employees can carry over no more than five vacation days into the start of the new school year.

    Personal Leave
    All full-time employees can use up to two days of their sick leave as personal leave each school year. This leave is not in addition to your sick leave balance; these two personal days are already included in the total number of sick days you are advanced each year. When you use your first two days of personal leave, it will automatically deduct from your total sick leave balance.

    An employee may use up to two additional personal leave days with a partial deduction of pay; certified employees will receive a $60.00 dock and non-certified employees will receive a $12.00 dock. If an employee has no sick days remaining at the time of requesting a personal day, it will default to using one of these partial dock personal days.

Extended Leave and FMLA

  • For information about how to apply for extended leave or FMLA, please contact either Renee Prosser or Kamara Sanders. For an anticipated extended leave, you must submit the leave request to your immediate supervisor either Renee Prosser or Kamara Sanders at least thirty days prior to the absence start date when possible.

    • Employees with last names starting with A-J are assigned to Renee Prosser
    • Empoyees with last names starting with K-Z are assigned to Kamara Sanders

    Extended leave is considered, but not limited to, the following:

    • More than five consecutive absences due to serious personal illness or serious illness or death of an immediate family member;
    • Absences related to the birth, adoption, or foster placement of a child;
    • Absences related to active military duty or the call to active duty;
    • More than three consecutive absences that involve an overnight hospital stay.

    On the day you physically return to work from an extended absence or FMLA, you are required to send an email to returntowork@fsd1.org.

Leave Types

    • Vacation 240 (only available for full-time employees with a 240-day or 245-day contract)
    • Vacation (only available for full-time custodial and maintenance staff with 260-day contracts)
    • Sick days>sick day (employee’s own illness)
    • Sick days>family illness (illness related to employee’s immediate family)
      • When reporting this absence, the employee must note the relationship of the family member in the notes to the administrator.
    • Sick days>death immed family (bereavement due to the death of immediate family)
      • When reporting this absence, the employee must note the relationship of the family member in the notes to the administrator.
    • Sick days>personal day (employees may use up to two days of their sick leave for personal reasons not related to medical/illness. If the employee has no sick leave, this type of leave can’t be used)
    • Pers dock prof (additional personal days for certified staff at pay dock of $60.00 per day. Each eligible employee may only use two pers dock prof days per school year)
    • Pers dock classified (additional personal days for non-certified staff at a pay dock of $12.00 per day. Each eligible employee may only use two pers dock classified days per school year)
    • Professional leave (requires a signed approval form from the superintendent’s office)
    • Jury duty (employees must contact their supervisor or designated school administrator to enter this absence. Documentation is required)
    • EMLU (unpaid medical leave to be entered by district administration only)
    • EALU (unpaid leave unrelated to medical to be entered by district administration only)
